Asset-Equipment Custody Standard Operating Procedure
Purpose:
In order to regulate the functioning with clear-cut roles and
responsibilities and to ensure transparency in allocations of
equipment / services as well as smooth and efficient functioning, the
following Standard Operating Procedures (SOP) is hereby devised.
Scope:

This SOP applies to all SINA employees. It is the responsibility of
all operating units to ensure that this SOP is clearly communicated,
understood and followed.

Roles & Responsibilities:

The HR Department shall maintain a register recording the details of
the IN/OUT of the equipment/asset along with the record of
approvals.

A complete list of inventories will be maintained with make and
model.

The requestee will first generate an email in advance mentioning the
items (assets)needed with details and date of event.

On returning to the office the employee will hand over all
equipment’s to the HR Department, upon which an HR representative
will ensure all equipment’s are in working condition and have been
returned.

The Asset/ Equipment pass will be made for the same with following
all procedures. A copy will be given to the HR & Admin Department &
Original will be maintained by the watchman in the gate pass book.

Any damage, theft or discrepancy should be reported to the HR
department at your earliest. Via call first then followed by proper
email as per official documentation.

In case any employee brings in their personal asset to the head
office, it is mandatory to register the asset with the watchman in
the morning at the time of entry to avoid any clash at the time of
exit.
Authority & Interpretation:
This policy is issued by the Department of Human Resources Management
pursuant to the authority provided. The Department of Human Resources
Management is responsible for official interpretation of this policy.
Questions regarding the application of this policy should be directed
to the office of the Department of Human Resource Management. The
Department of Human Resource Management reserves the right to revise
or eliminate this policy as necessary.
The SINA asset will be provided/catered to on a first come first serve
basis, to avoid any clashes kindly put an email a day or two prior to
event.
